The problem
We received feedback from tattoo artists and partner studios on the platform, that there were many orders that ended up ‘stagnant’, that is, estimates that customers never approved or denied. These stalled orders could mean a financial loss for our partners in the future if the customer paid for an out-of-date estimate.
We investigated, through Hotjar recordings, and noticed that the same thing happened on the client side. There were also tattoo designs, sent for estimation, that ended up stagnant for lack of response.
However, during this investigation we came across a bigger problem. Within the remarks field, on the order screen, users shared their phone number, asking to be connected by customers by other means outside the platform. This behavior was a breach of the terms of use, and could mean financial losses in sales.
The solution
With the problems established, we prepared suggestions for improvement measures, for the meeting with stakeholders. Together, we decided on the following measures:
Orders with expiration
All orders, whether tattoo design (generated by the customer) or price estimate (generated by the tattoo artist), are valid for 7 days. If there is no response, the order automatically expires.


Reply to Denied Orders
When denying a request, the tattoo artist must choose a justification. At first, these will only be pre-established options. With the administrative area working, an open field would be added, as a justification option.


Customers
The tattoo projects, which were denied, should bring the justification given by the studio, and a shortcut to the search for another professional.


Administrative environment
We will build an administrative environment for Tattooz, where an order control flow would be established. This solution will be presented in the next article.
